Job description
- Analyze inventory needs and issue Purchase Orders for items assigned to guarantee stock availability.
- Analyze product lists provided by suppliers in coordination with Product Specialists.
- Keep track of purchase order confirmation and follow-up of open orders and back orders.
- Review of under min quantity list to prevent lack of stock.
- Secures and analyzes quotations; negotiates prices and terms with vendors.
- Liaise with Logistics to find the best way to ship the products.
- Supply information regarding deadlines and payment terms to Accounting Department.
- Data entry (prices, delivery dates, technical specifications, etc.)
- Evaluate the quality and service of suppliers periodically.
- Inform suppliers about any nonconformance related to quality, invoicing, shipping documents, responsiveness to any inquiry, and/or service to look for improvement as needed.
- Build a strong relationship with suppliers to expand business opportunities.
- Keep informed and maintain control of all issues related to suppliers in charge.
- Collect & organize all required information to approve new suppliers.
- Back up for emergency/special orders with the sales team when required.
- Suggest changes to help improve workflow and purchasing process.
- Performing other clerical duties as required, including, but not limited to, filing, data processing, typing, etc.
- As part of the job, the position also requires that you have the ability to react productively to changes and handle other tasks as assigned.
Knowledge/ Experience/ Skills:
- Proficiency in Excel – Medium to High level
- Good verbal and written communication skills.
- High standards of honesty and confidentiality.
- Ability to handle multiple tasks as assigned by supervisor.
- Able to work with little or no supervision.
- Skills to effectively plan, organize, and administrate job responsibilities.
- Effective facilitation, analytical, and decision-making skills with an ability to think with a broad, outside-the-box perspective.
- Fully bilingual with excellent verbal and written communication skills in English and Spanish.
Physical Requirements & Work Conditions
This position requires sitting (25%), walking (75%), talking, and using his/her hands, eyes, and/or ears.
